Submission Instructions/Information

  • Abstracts previously submitted to another conference may be submitted.
  • Published papers are not permitted.
  • Please note: The AUA prohibits an industry employee from presenting an abstract at a CME accredited session.
  • The final date for all submissions is April 14, 2021.
  • Submissions can only be made through the website. Any other method will not be considered. Please read the rules of submission before proceeding.

  • During the submission process, you can save partial submissions by using the "Save and Continue" button, the "Save and Exit" button will return you to the account page, where you can review/go back and edit/delete/add additional.
    Please Note: It is up to the submitter to confirm from the account page that their submission is marked as "Complete", and the output document should be downloaded for review to ensure the contents are correct.

General Rules for all Submissions

  • The submission of an abstract affirms that all authors named in the abstract have agreed to its submission for presentation at the Northeastern Section of the AUA and will be published in the Canadian Urological Association Journal (CUAJ) exactly as submitted.
  • It is the responsibility of the submitting author to ensure the abstract is in perfect order with no errors in spelling or grammar, as revisions will not be accepted. Abstracts will not be corrected.
  • At the time of submission of the abstract, the data on which the abstract is based should not be published, either in print or online.
  • Accepted abstracts may be captured and such audiovisual material will be used as deemed appropriate. To submit your abstract, you will be required to complete a non-exclusive license agreement.
  • Submission of an abstract constitutes the author's commitment to present the abstract as accepted. Expenses associated with the preparation, submission and presentation of an abstract are the responsibility of the author/presenter.
  • Submitted abstracts are graded individually by peer reviewers based on scientific merit and originality. The total number of abstracts allowed to be presented by the same author is five (5). Abstracts must be written in English and, if accepted, presented in English.
  • The Northeastern Section-AUA Program Committee will determine the format of the presentation.
  • The Scientific Committee will review all the submissions, and once complete, you will receive an email confirming whether your abstract was or was not accepted for presentation. If your abstract is accepted it will also include information about the type of presentation your abstract was selected for: podium presentation or poster presentation. Please note: complete submission information about acceptance into the program will be sent in a follow up email.
  • All submissions must be submitted and presented in clear English and spelling quality that is suitable for publication.
  • Upon submission, the Submitter confirms that the submission has been reviewed and that all information is correct. The content of the submission cannot be modified or corrected after final submission deadline and the author is aware that it will be considered and/or published exactly as submitted.
  • The submission constitutes acceptance from the authors regarding its publication (e.g. congress website, programs, other promotions, etc.).
  • The Submitter warrants and represents that he/she is the exclusive owner or has the rights of all the information and content (Hereafter: "Content") provided to Northeastern Section of the AUA, Inc. Meetings and Events (Hereafter: "The Organizers"). The publication of the submission does not infringe any third party rights including, but not limited to, intellectual property rights.
  • The organizers have the right to remove any submission which does not comply with the above.
  • Upon submission the Submitter confirms that the contact details saved in the system are those of the corresponding author, who will be notified about the status of the submission, and will be responsible for informing the other authors about the status.

General Guidelines for all Submissions

Before you begin, please prepare the following information:

Please maintain consistency in authors' names on multiple abstracts to avoid duplication in the Author Index. However the authors’ names appear in the system is how they will appear online and in the published program and Journal.

If the author(s) of the abstract is an employee(s) of or has a financial relationship with the commercial interest which controls the content of the presentation, he/she cannot be the presenting author. However, principal investigators responsible for research and development are permitted to present as long as they resolve their COI and as long as they are not employees of the commercial interest.

Rules for Abstract Submission

  • Abstract Title
    The title should clearly define the topic and contain no abbreviations. The title should not be in all capital letters.
    (limited to 25 words)
  • Abstract Body
    (limited to 400 words or 365 words if an image is included)
    Table(s), Graph(s) or Illustration(s): All tables/graphs/illustrations must be converted to an image. And a maximum of 1 image(s) can be included per abstract. The maximum file size of the image is 1.5 MB. The maximum pixel size of the image is 600(w) x 800(h) pixels. You may upload an image in JPG, BMP or PNG format only. For higher quality output we recommend your images be set at 300 dpi and crop out any unnecessary surrounding white space.
  • Abstract Layout
    Abstracts must use the following structured format:
    • Introduction and Objective
    • Methods
    • Results
    • Conclusions
  • It is NOT acceptable to state that "The results will be discussed." Inclusion of specific data is helpful to the reviewers.
  • Indicate the major new findings of the study.
  • Standard abbreviations may be used as follows: for the first use, spell out the full term and then follow with the abbreviation in parentheses each time thereafter.
  • Proprietary names of drugs are not allowed; generic names must be used.
  • Grant support must be indicated on the "Funding" field. If there is no support, "N/A" must be listed. This is a required field in the submission process. Abstracts deemed to be purely for marketing purposes will not be accepted.
